⚡ In short

  • Great chat agents write clearly and quickly, and stay friendly under pressure.
  • Product knowledge and good tools (saved replies, visitor details) matter as much as typing speed.
  • Most skills improve with practice and by reading back your own chats.

1. Clear, simple writing

Short sentences, no jargon, one idea per message. Practise by rewriting your longest saved replies in half the words.

2. Typing speed and accuracy

Speed matters, but accuracy matters more. A wrong price costs more than a 10-second delay. Saved replies help with both.

3. Empathy in text

You can’t use your voice, so words carry the feeling. “I’m sorry, that’s frustrating” goes a long way. See how to deal with angry customers.

4. Product knowledge

Know your products, prices and policies well enough to answer without checking. Keep the AI Agent knowledge up to date so it says the same thing you do.

5. Reading the question behind the question

“Is COD available?” can mean “I don’t trust paying online yet”. Answer the worry, not just the words.

6. Multitasking

Good agents handle two or three chats at once without mixing them up. Use the customer’s name in each reply to stay on track.

7. Using context

Check the visitor’s current page, pages viewed and past chats before replying. It saves questions. See visitor tracking.

8. Staying calm

Some customers are rude. Stay polite, stick to facts and move the conversation towards a fix.

9. Knowing when to escalate

If you can’t solve it now, make a ticket, assign it to the right person and tell the customer when they’ll hear back.

10. Positive language

Say what you *can* do, not what you can’t. More in positive scripting.

How to practise

  • Read back five of your chats each week. What would you write differently?
  • Swap chats with a colleague and give each other one tip.
  • Turn your best answers into saved replies.
